Privacy Policy

1. Data controller
Virtually Branded Ltd, trading as BrokerLync ("we", "us", "our"), is the data controller for personal data collected through our marketing website and account sign-up flow. When you use BrokerLync to collect information from your own clients, your brokerage is the data controller for that client data and BrokerLync acts as a data processor on your behalf under a separate Data Processing Agreement.
BrokerLync is a trading style of Virtually Branded Ltd, a company registered in England and Wales under company number 13132922, with its registered office at 31 Sunflower Lane, Stainton, Middlesbrough, TS8 9FS.

2. What data we collect
- Account details you provide, such as your name, firm name, email address and phone number.
- Demo request submissions and any questions you send us through the site.
- Billing information processed by our payment provider (we do not store card details ourselves).
- Basic technical data such as IP address, browser type and pages visited, collected through cookies and standard server logs.
3. Lawful basis
We rely on the following lawful bases under the UK GDPR:
- Contract: to provide the BrokerLync service to you and your firm.
- Legitimate interests: to respond to enquiries, secure our platform and improve our product.
- Legal obligation: to keep records required by tax, accounting and regulatory rules.
- Consent: where required, for example where you agree to this policy when requesting a demo and we then send you related BrokerLync updates.
4. How we use your data
We use your personal data to provide and administer the service, to respond to demo requests and support enquiries, to send service-related communications, to keep the platform secure and to meet our legal and regulatory obligations. We do not sell your personal data.
5. Marketing communications
When you request a demo you are asked to confirm that you agree to this Privacy Policy. By submitting the form with that box ticked, you agree that we may add your name, firm name, email address and phone number to our marketing contact list and send you occasional emails about BrokerLync, including product updates, onboarding guidance and offers relevant to mortgage and protection brokers. You can untick the box before submitting if you would prefer only to receive a direct reply to your enquiry.
These emails are sent using Mailchimp (Intuit Inc.), which stores your contact details on our behalf and records whether you open or click our emails so we can keep our messages relevant. Transfers of this data outside the UK are covered by appropriate safeguards as described below.
You can withdraw your agreement to marketing emails at any time, with no effect on any other part of the service, by using the unsubscribe link in any email or by emailing info@brokerlync.io. We will then remove you from our marketing list. Service and account emails, such as replies to your enquiry or billing notices, are not marketing and are sent separately.
6. Sharing and sub-processors
We share personal data with vetted sub-processors that help us run the service, such as our cloud hosting, database, email delivery, email marketing (Mailchimp) and payment providers. A current list is available on request. Where any sub-processor is based outside the UK, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or adequacy regulations.
7. Retention
We keep personal data only for as long as we need it for the purposes set out in this policy. Account data is retained for the life of your subscription and for a reasonable period afterwards for legal and accounting purposes. Demo request data is typically retained for up to 24 months unless you ask us to delete it sooner. Marketing contact details are kept until you unsubscribe or ask us to remove them.
8. Your rights
Under the UK GDPR you have the right to access, rectify, erase, restrict or object to the processing of your personal data, and the right to data portability. You can exercise these rights by contacting us at info@brokerlync.io. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
9. Security
We use encryption in transit and at rest, role-based access controls and two-factor authentication to protect personal data. No system is perfectly secure, but we take our responsibilities seriously and review our controls regularly.
10. Changes to this policy
We may update this policy from time to time. Material changes will be communicated through the service or by email where appropriate. The "Last updated" date at the top of this page shows when it was last revised.
